1. Who we are
This Privacy Policy explains how the National Speakers Association — Southern California Chapter ("NSA SoCal," "we," "us," or "our") collects, uses, and protects information through our website at nsasocal.org (the "Site") and through related programs, events, and communications.
NSA SoCal is an independent chapter affiliated with the National Speakers Association (the "National Association"). The National Association maintains its own separate privacy practices, which apply to information you provide directly to it.
2. Information we collect
We collect information in the following ways:
Information you provide to us
- Membership and account information — name, email address, phone number, billing details, professional information, and login credentials when you become a member or create an account.
- Event registration information — details you submit when registering for chapter meetings, the Speakers Academy, Demo Reel Day, or other programming, including any dietary, accessibility, or session preferences you share.
- Payment information — processed by our payment provider (see Section 4). We do not store full payment card numbers on our servers.
- Newsletter and contact information — the email address and any details you provide when you subscribe to updates or send us a message.
- Content you submit — comments, profile details, photos, videos, or other material you choose to share with the chapter.
Information collected automatically
- Usage and device data — IP address, browser type, device type, pages viewed, referring pages, and the dates/times of your visits.
- Cookies and similar technologies — small files used to keep you logged in, remember preferences, secure forms, and understand how the Site is used. See our separate Cookie Declaration and Section 6 below.
3. How we use your information
We use the information we collect to:
- Operate the chapter, manage memberships, and provide member benefits;
- Process event registrations and payments;
- Send transactional messages (receipts, confirmations, registration details, and account notices);
- Send newsletters and program updates you have asked to receive;
- Respond to your questions and requests;
- Maintain the security and integrity of the Site;
- Understand and improve how our programs and Site are used; and
- Comply with legal obligations.
4. Payment processing
Payments for membership, events, and other purchases are processed through Stripe, integrated with our membership system. When you make a payment, your card and billing details are collected and processed by Stripe under its own terms and privacy policy. We receive confirmation of your transaction and limited billing details, but we do not store your full card number. Please review Stripe's Privacy Policy for details on how it handles your information.
5. How we share information
We do not sell your personal information. We share information only as needed to operate the chapter, including with:
- Service providers who help us run the Site and our programs — for example, our payment processor (Stripe), membership platform, event-registration system, email/newsletter platform, media hosting, and website hosting providers.
- The National Speakers Association, where required for chapter affiliation, membership verification, or shared programming.
- Other parties when you direct us to, or when required by law, legal process, or to protect the rights, safety, and property of NSA SoCal, our members, or others.
If NSA SoCal undergoes a reorganization or transfer of operations, information may be transferred as part of that process, subject to this policy.
6. Cookies & tracking
The Site uses cookies and similar technologies for essential functions (such as keeping you logged in and securing forms), for preferences, and to understand site usage. Some cookies are set by third-party services embedded in our pages, such as video and audio players and our email platform. For a categorized list, see our Cookie Declaration. You can control cookies through your browser settings; disabling some cookies may affect how parts of the Site work.
7. Email & communications
When you subscribe to our newsletter or opt in to updates, we send them using our email marketing platform. Every marketing email includes an unsubscribe link, and you can opt out at any time. We may still send you transactional or account-related messages (such as payment receipts or event confirmations) that are necessary to provide a service you requested.
8. Data retention
We keep personal information for as long as needed to provide our services, maintain your membership or account, comply with our legal and financial obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it.
9. Data security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
10. Your privacy rights
Subject to applicable law, you may request to:
- Access the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Delete your personal information;
- Opt out of marketing communications; and
- Limit certain uses of your information.
To make a request, contact us at admin@nsasocal.org. We may need to verify your identity before acting on a request.
11. California privacy rights
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act ("CCPA/CPRA"), gives you specific rights regarding your personal information, including the right to know what we collect, the right to delete, the right to correct, and the right to opt out of the "sale" or "sharing" of personal information. NSA SoCal does not sell your personal information. You may also designate an authorized agent to make a request on your behalf, and you have the right not to receive discriminatory treatment for exercising your rights. To exercise these rights, email admin@nsasocal.org.
Note for review: If your chapter serves visitors in the EU/UK, or if you add analytics or advertising tools, this section should be expanded to address GDPR/UK GDPR legal bases and any cross-border transfers. Have counsel confirm the scope.
12. Children's privacy
The Site and our programs are intended for adults and are not directed to children under 13 (or under 16 where applicable). We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.
13. Third-party links
The Site contains links to third-party websites and embedded content (for example, YouTube videos, podcast players, partner chapters, and the National Association). We are not responsible for the privacy practices of those third parties. We encourage you to review their policies.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes may be communicated through the Site or by email. Your continued use of the Site after an update constitutes acceptance of the revised policy.
